EXECUTIVE BOARD
All board members will be 15 minutes early to set up the meeting and discuss any unfinished agenda business. All board members will be expected to clean up the meeting at the end of the general meeting.
President
Attends monthly board meetings to prepare general meeting agenda on the first Wednesday of the month. Leads the monthly general meetings. Organizes committees and checks to make sure those tasks are successfully completed. The president must have been on the executive board at least one year and be 7th grade or older.
Vice-President
Attends monthly board meetings on the first Wednesday of the month. Plans and organizes general meeting programs so that the members remain active and interested throughout the year. In the absence of the President the vice-president leads the general meetings. The vice president must be 7th grade and older.
Secretary
Attends monthly board meetings on the first Wednesday of the month. Takes all of the minutes of the general meetings. Keeps records of the club’s roster and keeps attendance records of the general meetings. The secretary will keep all correspondence for the club – writing thank you notes to speakers, contributors and friends of the club. The secretary must be 7th grade and older.
Treasurer
Attends monthly board meetings on the first Wednesday of the month. Keeps all accurate, financial transactions for the club. Deposits money and writes checks. In charge of collecting enrollment fees and writing the financial summary at the end of the program year. The treasurer must be 7th grade and above.
BOARD MEMBERS
Sergeant at arms
One person in charge of keeping the meeting on track using a moderate form of parliamentary procedure. Must be 9 years old and older.
Civic Engagement officer
In charge of notifying club members of quarterly community service projects and collecting and distributing the club’s donations. Community service will be in September, November, February and May. Must be 9 years old and older
Historian
Keep a good record of events held during the 4-H year such as photos, flyers, newspaper clippings, club newsletters, announcements, and correspondence received by the club. Must be 9 years old and older.
Reporter
In charge of writing 3 articles for club publicity and/or club news to be submitted to and published in local newspaper. In charge of writing 3 articles for the club and submitting them to the Los Angeles County 4-H Clover Notes during the 4-H program year. Must be 9 years old and older
COMMITEE CHAIRPERSONS
Flag Chariperson
In charge of setting up the flag for the flag salute and the banner for the 4-H pledge. Is responsible for asking another member to lead the 4-H pledge and the flag salute. If no one volunteers you are in charge of leading it Must be 9 years old or older.
Refreshement Chariperson
In charge of asking projects to provide refreshment each month for the general meeting. If no project signs up then you are in charge of providing refreshment for that general meeting. In charge of supplying the water, cups and napkins at every meeting. Must be 9 years old or older.
